Voting on the following matters took place at the Annual General Meeting on Thursday 22 October 2009.  All were unanimously approved by those present and those who voted prior to the meeting.

Re-election of Committee

 

Clause 5 of the Constitution states: “The maximum period of office for Officers and Committee Members will be 2 years, but they may offer themselves for re-election at an AGM.  Nominations for Officers and Committee Members must be received by the Committee no fewer than 28 days prior to the AGM.”

 

Members were asked whether any would like to join the Committee but there were no recent nominations/ volunteers.  In accordance with the Constitution the following members stood for re-election at the meeting:

 

 

 

 

 

 

 

 

 

All were re-elected unanimously.

 

Lisa Ashbaugh became a Committee Member in April 2009 and therefore did not need to stand for re-election.

 

Keith Hammond had volunteered in April 2009 and, following the ratification of the proposed change to Clause 5, become our sixth Committee member.

OFFICERS:  The Officers of the Association shall be a Chairman, Vice Chairman and Treasurer.
In addition there will be 2 Committee Members.  Three shall form a quorum.   (No change to the rest of this clause – see below regarding re-election of Committee.)

To allow flexibility so that the Association can function if there is a shortage of volunteers but take advantage of help when offered.  

The Committee would consist of between 4 and 6 people according to how many members are willing to serve on it.

FINANCE:  The Treasurer shall open a bank account in the name of the Association.  All payments to the Association shall be received by the Treasurer, who shall pay all monies received into the Association’s banking account.  All expenditures shall be approved by the Treasurer and one other Officer.
FINANCE:  The Treasurer shall keep the Accounts of the Association.  All payments to the Association shall be held by the Treasurer or paid into a bank account in the name of the Association.  All expenditures shall be approved by the Treasurer and one other Officer.
We receive small sums of money in cash which do not add up to enough to merit opening a bank account at present.  The replacement clause will still allow us to open a bank account should one be required in the future.
